Terms and Conditions

These Terms and Conditions apply to all enquiries, bookings, assessments, consultations, and services provided by Spectrum Sensory Therapies.

By contacting us, booking a consultation, or engaging our services, you agree to these Terms.

Scope of services

Spectrum Sensory Therapies provides specialist speech and language assessment, consultation, and EHCP-linked work only.

We do not offer privately funded ongoing therapy packages. Privately funded work is accepted solely where the purpose is assessment and written advice to inform an Education, Health and Care Plan application, review, or reassessment.

Where ongoing therapy is recommended following assessment, this may be provided only where commissioned through statutory funding routes.

Initial consultation

We offer a free initial online consultation to discuss suitability for assessment and to clarify the appropriate pathway.

This consultation does not constitute assessment, diagnosis, or formal advice, and no written documentation is provided at this stage.

There is no obligation to proceed following an initial consultation.

Assessment process

Assessment is tailored to the individual child or young person and may involve observation and interaction across more than one context, where appropriate.

Assessment methods are selected using clinical judgement. Formal or standardised tools may be used where suitable, but are not appropriate or meaningful for all children. Alternative methods may be used to ensure a robust and defensible assessment in line with EHCP standards.

Reports and recommendations

Written reports are provided following completion of assessment and payment of agreed fees.

Reports are intended to inform statutory processes and decision-making. While recommendations are evidence-based and clinically reasoned, final decisions regarding provision sit with Local Authorities and education settings.

Reports must not be altered, edited, or selectively quoted in a way that misrepresents their content.

Fees and payment

Fees for assessment and report writing are agreed in advance.

Payment terms will be confirmed prior to assessment. Reports will not be released until payment has been received in full, unless otherwise agreed in writing.

Fees cover professional time, clinical expertise, analysis, and report writing. They are not contingent on outcomes of EHCP decisions.

Cancellations and changes

If an assessment session needs to be cancelled or rearranged, reasonable notice is required.

Late cancellations or non-attendance may be chargeable, except where cancellation is due to illness or unforeseen circumstances. We aim to apply discretion reasonably and fairly.

Communication and professional boundaries

Communication outside of agreed appointments is limited to administrative or clarification purposes.

Clinical advice, assessment, and recommendations are provided only within agreed sessions and written reports.

Confidentiality and data protection

All personal data is handled in line with UK GDPR and applicable data protection legislation.

Information is kept confidential and shared only with consent, unless disclosure is required by law or safeguarding obligations.

Further details are set out in our Privacy Policy.

Safeguarding

Spectrum Sensory Therapies adheres to safeguarding responsibilities in line with professional and legal requirements.

Where concerns arise regarding a child or young person’s safety or wellbeing, appropriate action may be taken in line with safeguarding procedures.

Limitation of liability

Our services are provided with the achieved level of  skill and care in accordance with professional standards.

We cannot accept responsibility for decisions made by third parties, including Local Authorities, schools, or tribunals, based on assessment reports or recommendations.

Nothing in these Terms limits liability where it cannot be lawfully excluded.
